Every customer answered.
Every reply the right one.
SupaDesk turns your support mailbox into a desk where every conversation has an owner, a deadline on your real business hours, and - when it matters - a second signature before the reply reaches the customer.

Policy: replies mentioning a refund need a team lead
Support teams answer their customers from SupaDesk
What is SupaDesk?
SupaDesk is help desk software for teams that support customers by email. It connects Gmail, Microsoft 365 or IMAP mailboxes and turns each conversation into a ticket with an owner, a status and an SLA deadline on business hours. Rules route new tickets to the right team, a customer portal lets customers follow their requests, AI helps agents summarise and polish replies, and communication policies can hold specific replies - refunds, VIP customers, new agents - for approval by someone else before they are sent.
- A shared inbox with owners, statuses, internal notes and merges.
- Gmail, Microsoft 365, any IMAP mailbox, or an address SupaDesk hosts.
- SLA clocks on business calendars that pause only when waiting on the customer.
- Maker-checker approval on replies, enforced at the moment of sending.
- Customer portal with passwordless sign-in; internal notes structurally excluded.
- Every workspace in its own database, with SSO, MFA and granular roles.
Support rarely fails for lack of effort
It fails in the gaps between people: the email everyone thought someone else had, the deadline nobody could see, the reply nobody checked.
"I thought you had it"
A shared mailbox has no idea whose turn it is. So two agents answer the same customer, and the next customer gets nobody at all.
Promises nobody can see
You told customers you reply within four hours. Nobody can tell which ones are about to miss it until the customer chases.
The reply that should not have gone
A refund that was not allowed, a figure that was wrong, a new agent's tone on a bad day. Once it is sent, it is a commitment.
Receive, route, reply, prove
Four stages, one desk. Each closes one of the gaps where support usually goes wrong.
Receive
Connect support@ - Gmail, Microsoft 365 or IMAP. Every email becomes a ticket or joins the right one, and auto-replies and bounces stay out of the queue.
See email ticketingRoute
Rules send each new ticket to the right team by mailbox, customer, category or priority, with round-robin inside each team and an SLA clock started on arrival.
See routingReply
Agents answer with canned responses and AI polish. Replies that match your policies wait for an approver; the rest go straight out.
See reply approvalProve
Live reports on response times, SLA attainment, workload and approvals - and a record of who approved which exact reply.
See reportingA second signature on the replies that matter
Most replies should go straight out. A few should not leave on one person's judgement. SupaDesk lets your rules tell the difference - and makes the approved version the only one that can be sent.
- Rules, not habits Hold replies by keyword, VIP customer, attachment, recipient count, category or agent tenure.
- Nobody approves their own Self-approval is refused first, and delegation cannot get round it.
- The signature covers the content Edit a reply after approval and it goes back for review. What was signed is what is sent.
- Evidence, not memory Every decision records who approved, when, and from where.
Communication policies
Every matching rule counts and the strongest outcome wins - a broad “allow” can never quietly switch off a narrow “require approval”.
Everything the desk needs on a Monday morning
The inbox, the deadlines, the routing and the safety net - designed together, so the numbers in the report match what the team feels on the floor.
One desk, eight jobs
A support team, a billing office, a complaints process and an outsourced partner can share one workspace - each seeing only what it should.
Most teams find us after outgrowing a mailbox - or a suite
The big suites are good products, priced for teams using every channel they sell. If email is where your customers are, SupaDesk does that part carefully - and adds the control the suites leave out.
| What you need | SupaDesk | Shared mailbox |
|---|---|---|
| An owner for every conversation | Always | Whoever replies first |
| Response deadlines on business hours | Per priority | None |
| Right team, automatically | Routing rules | Filters, at best |
| Approval before a risky reply | By rule | Forward and hope |
| Departments kept apart | Ticket scopes | Everyone sees all |
| Customers can check progress | Portal | Email again |

What changes once replies have an owner
We used to forward risky replies to a manager and hope they read them before the agent hit send. Now the rule does it, and the reply simply cannot leave until somebody has signed it.
Pausing the clock while we wait on the customer sounds small. It is the reason our SLA report finally matches what the team feels on the floor.
Our seasonal agents draft from the second day. A team lead approves anything about refunds, and nobody has had to apologise for a promise we could not keep.
Your support inbox holds your customers' words. It is guarded that way.
Each workspace in its own database, mailbox credentials encrypted at rest, every attachment scanned, customer HTML sandboxed, and an authenticator code before anything irreversible. The detail is on one page, written for your security team.
Security & complianceIsolated by design
One database schema per workspace - never rows mixed with other customers'.
Secrets encrypted
Mailbox tokens and MFA secrets encrypted at rest, never stored in plain text.
Safe to open
Attachments virus-scanned, links checked, HTML rendered in a sandbox.
Step-up MFA
A fresh authenticator code before any action that cannot be undone.
